King's College London
MAT Systems designed and built a bespoke application to enable the Department of Management at King’s College to track and monitor student attendance and participation at tutorials.
The application was designed to import data from the existing student database, to remove the necessity for double-entering student data.
The application produces reports to show the attendance/absence and participation of all students across all modules over the duration of the course.
TANDBERG Television
TANDBERG Television are part of the Ericsson Group and manufacture equipment for the transmission of digital television. They have a number of manufacturing sites around the world, each site has test equipment to test the products manufactured. TANDBERG wanted to set up a centralised database to hold all of the test result data from all manufacturing sites.
MAT Systems designed an application that enables each manufacturing location to upload their test results data to a central FTP server from where they are automatically loaded into a central database.
The application enables TANDBERG to enquire and report on the test results of any range or piece of equipment.
International Chauffeur Drive (ICD) - London
ICD are an executive chauffeur company. They have a fleet of prestige vehicles and a number of drivers, both employed and self-employed and a variety of corporate clients.
MAT Systems designed an application that enables ICD to manage all of their vehicles, drivers, accounts, clients and bookings.
The application contains a number of features to improve the efficiency of the business including automated reminders for when driver or vehicle documents/certificates (e.g. MOTs/PCO licenses) are due for renewal, the ability to easily email booking details to drivers and the ability to create Outlook calendar appointments for bookings.
The application also enables ICD to run and manage a loyalty scheme for P.A.s/secretaries of their corporate clients. It also enables them to quickly produce driver job sheets, pay slips and customer invoices.
National Centre for Eating Disorders
The National Centre for Eating Disorders are a company that offer training to eating disorder councillors. In addition to this they organise workshops and seminars and provide a councillor referal service to anyone looking for an eating disorder councillor in their local area.
MAT Systems designed an application that enables the National Centre to manage all of their courses/workshops, bookings (including payments), course attendees and councillor network.
Planned 2 Perfection
Planned 2 Perfection organise and manage private and corporate events. They have a number of venues that they regularly use and who use them as preferred suppliers, they also have a huge number of suppliers and acts on their books that they use for the events that they organise.
MAT Systems designed an application that enables Planned 2 Perfection to manage all of their venues, contacts and suppliers including CRM facilities and the ability to send targeted marketing mailshots, letters and emails.
The application enables Planned 2 Perfection to record all of the details of each event and to track the progress of the events including the management of supplier quotes and the raising of purchase orders, invoices and contracts.
Leading Edge
Leading Edge organise and manage events and trade shows. As a business they have thousands of contacts that they need to make regular contact with. They needed a CRM based application to enable their staff to maintain details of every contact, to be able to categorise them by a number of criteria and to record details of the events attended by the contacts and in what capacity, e.g. Vistor, Exhibitor, Speaker.
MAT Systems designed an application that enables Leading Edge to manage all of their contacts including CRM facilities and the ability to send targeted marketing mailshots, letters and emails to contacts. It also includes the ability to record other contact's such as telephone conversations, faxes sent/received and meetings attended.
The application also contains a task management tool, similar to Outlook Calendar, which enables the users to quickly and easily set up tasks related to contacts, such as sending an email, making a telephone call or attending a meeting. Each task is given a date and time and can have a reminder set to prompt the user when the task is due (or at a specified time before the task is due), at which point the full details of the task and contact are available to the user.
Due to the large number of existing contacts and associated information, the application also contains facilities to import contact details from Outlook and Excel and also to import existing contact email correspondence from Outlook into the application.
Tensai
Tensai are Alan and Caroline Vandome, between them they have 4 magic shows including childrens entertainment, close-up magic for corporate events and a stage magic show. The Vandome's approached MAT Systems to design and build an application to manage all of their varied enquiries, bookings and contacts.
MAT Systems designed an application that enables all booking enquiries and confirmed bookings to be logged and managed. The application includes CRM facilities to enable emails and letters to be sent to the clients, these emails and letters can be ad hoc or can be easily generated from templates to provide professional looking personalised corespondence.
The application also includes facilities to manage all of the Vandome's contacts including CRM facilities and the ability to send targeted marketing mailshots to contacts and existing clients.
Rowney Sharman
Rowney Sharman are a company that provide project management services for building and development projects. They have offices in Ascot, Jersey and London. MAT Systems designed and built a bespoke application to enable Rowney Sharman to record the details of their project managers, clients and projects. The application also enables them to record details of all sales invoices raised against each project and to record all project manager timesheets and expenses.
A number of management reports can easily be generated showing, amongst other things, the profit and loss for each project (derived from the sales invoices, timesheets and expenses entered).
The application also enables Rowney Sharman to enter projected fee schedules for each project and has facilities for each project manager to plan their time using a resource planning tool. A projected profit and loss report can be run for each project using the fee schedule and associated resource plans.
Oxford Indices / John Menzies
Oxford Indices is a data strategy firm, specialising in quantitative analysis systems for media companies.
They had a requirement to analyse the sales data from John Menzies, one of the UK's largest magazine distributors, in order to determine the optimum distribution of all magazines across all outlets in the UK. The volume of data involved was huge and the complexity of the analysis algorithms was significant.
MAT Systems designed and built a bespoke application to enable the sales data to be loaded into a database, analysed and the results output to a number of Excel spreadsheets in a form suitable for inclusion in reports to be presented to John Menzies.
London Village Estates
London Village Estates are an estate agent based in London that deal in both sales and lettings.
MAT Systems designed and built a bespoke application to enable London Village Estates to set up and maintain all of the details of their various sales and lettings properties as well as all of their applicants, vendors and landlords.
The application enables London Village Estates to accurately record the requirements of each of their applicants and to then automatically match them to any suitable properties on their books. The applicants can be automatically notified of any matches by Email, SMS (text message) or Letter.
The application also contains a full contact management suite that enables London Village to record details of all correspondence to and from their applicants, landlords and vendors, whether by Email, Letter, Fax or Telephone.
The marketing details for each property can also be managed from within the application, including links to various property portal web-sites such as Prime Location and Right Move.
The application also contains a viewings diary to enable viewing appointments to be made and maintained, this includes automated links to populate an Outlook calendar with the viewings.
Hi Spirits
Hi Spirits are a company that import spirits from various suppliers within Europe into several bonded warehouses throughout the UK. They then sell them onto a number of UK based customers.
MAT Systems designed and built a bespoke application to enable Hi Spirits to set up and maintain all of the details of their various suppliers, warehouses, shipping companies and customers.
The application enables Hi Spirits to raise and manage purchase orders, shipping orders, goods in advices and sales orders, and to track and manage their stock held at each warehouse. The application also enables Hi Spirits to produce reports such as profit and loss and volumes of sales by customer.
Trusol Services
Trusol Services are a company that offer ICT support for schools and small businesses. They offer a range of support service level agreements (SLAs). Each SLA has a different pricing structure and entitles the customer to different amounts of on-site support, provided in fixed support periods.
MAT Systems designed and built a bespoke application to enable Trusol to set up and maintain their various SLAs, to manage their customers (name, address, contact details and relevant SLA) and to record the support purchased by each customer, alongside that provided to each customer. Detailed reports can easily be generated for each customer, showing the support purchased, provided (including a detailed breakdown of each support visit) and available.
Zero Octa
The Zero Octa Group is a global organisation providing a range of outsource services primarily focusing on the travel and financial management sectors. Their clients include 15 of the worlds' top 25 airlines.
Their range of service/product offerings include a revenue recovery and protection service, a multi currency funds collections system, a refund application management service and the processing/management of all customer service enquiries and baggage claims for a major European airline.
All of these services rely heavily on the managing, manipulating and reporting of large volumes of data in a variety of formats.
MAT Systems have designed and built a number of wide ranging systems for Zero Octa over a period of 5 years and continue to support and enhance them today.
These systems include bespoke applications for the management of the revenue recovery and protection service, the tracking and management of payments for the collections service, the reporting and tracking of refund applications for the refund application management service and a fully featured Customer Relationship Management (CRM) application for the customer service and baggage claims service.
The revenue recovery application is currently used by over 200 concurrent users across a number of Zero Octa’s offices in London, Mumbai, Goa, Chicago and New Zealand.
T++
T++ are a company that offer IT training courses.
MAT Systems designed and built a bespoke application to enable T++ to manage the details of each training course offered, to manage their customers and to record the details of each training course attended. The application contains contact management facilities, order processing (to manage the details of each course booking), invoicing and reporting.
